Job description
As the entry point to one of the Nation’s premiere educational and research institutions, the UW Office of Admissions serves approximately 60,000 callers and more than 30,000 visitors per year. The Admissions Representatives will serve as a point of contact for prospective students and families, providing general information and resources regarding admissions policies, educational opportunities, student life, and more. Admissions Representatives must be knowledgeable and passionate about the programs and services at the UW as well as general admissions policies and practices.
As an Admissions Representative, you will represent the University of Washington and yourself as well as other Admissions Representatives in a manner that provides a positive reflection of our institutional vision, goals, mission, and efforts.
Job Duties and Responsibilities
Answer and respond to phone calls/visitors in the Office of Admissions:
The Office of Admissions is open Monday through Friday, from 8:00am-5:00pm, and is not open on state holidays or during school closures. During our hours of operation, the primary responsibility of Admissions Representatives will be to accommodate visitors and answer/respond to phone calls. Admissions Representatives are expected to work in-person. On occasion, there may be additional opportunities to work remotely.
Admissions Representatives are expected to work 10+ hours a week during the academic year with the potential to add more hours during school breaks and the summer, if desired.
Standing Office Responsibilities:
When not answering phone calls and emails or working with visitors, there are a number of standing items that should be attended to. These standing responsibilities include (but are not limited to) responding to information requests, maintaining the office space, and stocking publications.
Other Projects as Assigned:
Admissions Representatives are also often times asked to assist with other projects beyond the standing office responsibilities. Examples of these projects include (but are not limited to) merging records in Recruiter, preparing boxes to be shipped, and doing research on other admissions office practices.
Attend Office of Admissions Recruitment Programs:
Admissions Representatives are sometimes asked to work at special programs hosted by the Office of Admissions, such as Admitted Student Preview days or counselor breakfasts. Admissions Representatives may also be asked to represent the UW at off-campus college fairs and recruitment events throughout the Puget Sound and Pacific Northwest alongside Admissions staff.
Attend staff meetings:
Mandatory staff meetings are held once a quarter. These staff meetings are held from 5:00pm-6:00pm.
In addition to Quarterly Team Meetings, all Admissions Representatives will have a quarterly check-in with the supervising Senior Counselor.
Required Qualifications:
- Must be enrolled at the University of Washington and meet minimum enrollment requirements
- Demonstration of a high level of professionalism
- Effective verbal and written communication skills
- Use good professional judgment
- Regular and predictable attendance for scheduled shifts
Desired Qualifications:
- Experience working in an office setting, especially in higher education or other customer service-oriented setting
- Checking personal/UW email consistently to be up to date with important information and updates
- Availability to work over the summer and some school breaks
The Admissions Representative Position is Work Study Eligible.
